Email Shows as Opened, but the Client Says They Haven't Received It

If you’ve noticed that an email appears as opened in Creative Freedom, but your client says they haven't received or read it, here’s what may be happening.

Updated this week

Once an email leaves Creative Freedom, we can only rely on the information reported back to us by the recipient’s email provider, for example Gmail.

Gmail often preloads email content and images on their servers. This automatic process can trigger the system to report the email as opened even if the recipient hasn’t personally viewed it yet.

In short, the email has been successfully delivered, but Gmail’s preloading behaviour can make it appear as though the message was opened immediately, sometimes within seconds.

This is completely out of Creative Freedom's control and we can only report on the information provided by the likes of Gmail.

What to do next

If your client can’t see the email in their inbox, ask them to:

  1. Check their Junk, Spam, and Promotions folders.

  2. Look under “All Mail” in Gmail.

  3. If it’s still not visible, they’ll need to follow up directly with Gmail support, as the message has already left our system and been confirmed as delivered.

Why SMS Quote Alerts Exist

This is exactly why Creative Freedom includes SMS quote alerts, to make sure our members don’t miss out on business if email providers like Gmail handle messages in this way.

The SMS alerts act as a backup notification to confirm when a quote has been sent, so you can be confident your client won’t miss it due to how their email provider manages incoming mail.
